How to Use AI to Write Quotes Faster (Without Becoming a Computer Person)
You can hand most of the quote-writing to AI today: give it the job details and your real pricing, and it produces a clean draft in about a minute — which you then read and correct, because you know the work and it doesn’t. That review step is the whole method. Here’s how it works in practice.
Why quotes eat your evenings
A quote isn’t one task — it’s five. Dig out what you charged last time. Check the measurements or the counts. Do the math. Write it up so it looks professional. Then write the email that carries it. None of those steps is hard, and that’s exactly the problem: they’re too easy to hire for and too constant to ignore, so they land on the owner, at night.
Meanwhile, the quote that goes out slowly loses. Most customers getting three bids don’t pick the best company — they pick the one that answered while they still cared.
What the AI actually does
An AI tool like Claude is very good at exactly the parts that eat your time: pulling the details out of a messy request, applying pricing rules you give it, and writing clean, professional paragraphs. Set it up once with the way your quotes work — your services, your rates, your terms, a couple of your best past quotes as examples — and from then on the conversation looks like this:
- You give it the job: paste the customer’s email, or type three lines of notes from the site visit — dimensions, materials, timeline, anything unusual.
- It drafts the quote: line items, pricing from your rules, your standard terms, and a cover email in your voice — in about a minute.
- You read it like a boss, not a typist: check the numbers, fix what it got wrong, add the judgment call only you could make. Five minutes instead of forty-five.
The first setup is the real work — writing down your pricing logic, which for many businesses has lived only in the owner’s head. That step pays for itself twice: the AI can use it, and so can the next person you train.
The one rule that keeps it safe
Nothing goes to a customer without a human reading it. AI drafts; you approve. Build that into the workflow as a step, not a suggestion, and the failure mode changes from “we sent a wrong quote” to “we caught a wrong draft” — which is exactly the failure mode you already have with humans, except now it takes minutes to produce the draft.
Two smaller rules ride along: don’t paste anything into the tool that shouldn’t leave your business (bank details, employee records), and keep your pricing sheet in your own files — the AI reads from it; it doesn’t own it.
What this looks like in real life
A Memphis-area sign company we work with was quoting entirely by hand — accurate, but slow, and always after hours. We helped them build exactly this workflow around their real quoting and design process. Hours of admin time now come back every week, without hiring. The owner still approves every quote; the blank page is what disappeared. The full story is here.
Where to start
Pick your most common type of job — not the weird ones, the bread-and-butter one — and set up quoting for just that. One job type, one working draft, one week of your team using it. Expand after it proves itself. If you’d rather build it with someone who’s done it before, that’s literally what we do: here’s how it works.
